The personal data we collect
What we collect depends on how you interact with us:
- Contact details you give us — name, email address, phone number, and postal address — through the valuation form, contact form, property enquiry forms, or MyAtlas registration.
- Property and tenancy details — the address and details of a property you're letting, renting, enquiring about, or reporting a repair on.
- Anything you tell us directly — the content of enquiries, maintenance reports, and messages sent through the site, by phone, by email, or via WhatsApp.
- Technical data from your visit — such as the fact a map has loaded via Google Maps on our About Us and Contact pages, which involves your browser making a request directly to Google. See Cookies below.
How we use your data, and why
We use personal data to respond to enquiries and valuation requests, to arrange viewings, to manage tenancies and landlord instructions we hold, to handle maintenance reports, to meet our legal and regulatory obligations (including under the Tenant Fees Act 2019 and as a member of The Property Ombudsman redress scheme), and to keep our own records straight.
Our lawful basis for this is usually one of: taking steps at your request before entering a contract (e.g. a viewing or valuation), performing a tenancy or management contract we already hold, a legal obligation we're subject to, or our legitimate interest in running a lettings business responsibly. We do not send marketing communications unless you've clearly opted in, and any future marketing emails will include a straightforward way to unsubscribe.
Who we share your data with
We share personal data only where it's needed to provide our service or where the law requires it:
- Street.co.uk, our lettings CRM software provider, once our live data feed and lead-capture integration are switched on (see our Street.co.uk integration notes in this site's README for engineers) — property and enquiry data would flow into that system to manage the tenancy.
- Contractors and tradespeople, where a maintenance report needs a repair arranging at your property.
- Professional advisers such as accountants, solicitors, or insurers, where needed to manage a tenancy or a claim.
- The Property Ombudsman, our redress scheme, if a complaint is escalated to them.
- Regulators, courts, or authorities such as HMRC, where we're legally required to disclose data.
We do not sell personal data to third parties.
Cookies and similar technology
This site does not set analytics, advertising, or marketing cookies. The only third-party content embedded on the site is a Google Maps view on the About Us and Contact pages, which can set a cookie from Google once it loads. We don't load that map until you tell us it's OK to: a cookie banner shown on your first visit lets you accept (map loads normally) or decline (you'll see a plain link through to Google Maps instead, with no embed and no cookie). Your choice is remembered on this device and covered by Google's own privacy policy where the map does load. If we add analytics or marketing tools in future (for example, to understand which pages are most useful), this policy — and the cookie banner — will be updated first.
How long we keep your data
We keep personal data for as long as it's needed for the purpose it was collected for, and in line with our legal and regulatory obligations as a letting agent — for example, tenancy and financial records typically need to be kept for a set number of years after a tenancy ends. Exact retention periods for each type of record are [to be confirmed] with our compliance adviser before this policy is treated as final.
Your data protection rights
Under UK GDPR and the Data Protection Act 2018, you have the right to ask us for access to your personal data, to have inaccurate data corrected, to ask us to delete it, to restrict or object to certain processing, and to receive a copy of your data in a portable format. To exercise any of these rights, contact us using the details above.
If you're unhappy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent regulator for data protection — though we'd appreciate the chance to put things right directly first.
